2. Scope

This Policy applies to personal information we process as a business in connection with our own website, marketing, sales, onboarding, and service delivery for accounting, tax, and financial-services practices.

When we configure CRM, websites, messaging, AI reception, or automation tools for a client, that client is typically the business responsible for its own end-customer relationships and notices. In those cases, we act as a service provider / processor to the client to the extent applicable, and the client’s privacy notice governs its customers unless we tell you otherwise in writing.

3. Information we collect

3.1 Information you provide

  • Identity and contact details (name, business name, role, email, phone/mobile number, mailing or business address)
  • Booking and inquiry details (preferred call times, practice type, goals, notes you submit in forms, chat, email, SMS, or voice)
  • Account/onboarding information needed to deliver services (brand assets, domain/DNS details, tool logins you choose to share, call-flow preferences, knowledge-base content)
  • Payment and billing details (processed by our payment processors; we do not store full card numbers on this website)
  • Communications content (emails, texts, call recordings/transcripts where enabled, chat transcripts, support tickets)
  • Any other information you voluntarily submit

3.2 Information collected automatically

  • Device and log data (IP address, browser type, operating system, referring URLs, pages viewed, timestamps)
  • Approximate location derived from IP
  • Cookies, pixels, and similar technologies (see Cookies)
  • Messaging metadata (delivery status, timestamps, opt-in/opt-out status, phone number carrier type where provided by messaging partners)

3.3 Information from third parties

  • Scheduling tools (e.g., Cal.com) when you book a meeting
  • CRM / marketing platforms (including GoHighLevel / LeadConnector and related messaging infrastructure)
  • Communications providers (voice, SMS, email delivery)
  • Analytics and advertising partners, if enabled
  • Public business information (website, Google Business Profile, professional directories) that you or a referring source point us to

4. How we use information

We use personal information to:

  • Operate, secure, and improve our website and services
  • Respond to inquiries, book strategy calls, and communicate about our offerings
  • Provide, configure, and support websites, CRM, automations, AI assistants, and related services
  • Send transactional messages (appointment confirmations, reminders, receipts, service notices)
  • Send marketing communications where permitted (email, SMS, or other channels you opt into)
  • Personalize content and measure campaign/performance effectiveness
  • Detect, prevent, and investigate fraud, abuse, or security incidents
  • Comply with law, carrier/messaging requirements, and enforce our Terms
  • Establish, exercise, or defend legal claims

We do not use our services to provide legal, tax, accounting, or financial advice to consumers. Our customers are professional practices; any client-facing communications we help configure are based on content and instructions supplied or approved by those practices.

5. SMS, MMS, and messaging program (A2P)

If you provide a mobile number to PracticeGrowth.Tech — including through a website form, chat widget, booking flow, verbal request, paper/electronic agreement, or keyword opt-in — you may receive text messages from us related to the program you joined.

5.1 Program description

  • Appointment confirmations, reminders, and rescheduling notices
  • Responses to inbound inquiries and missed-call follow-up
  • Onboarding and service-delivery updates
  • Customer-care messages
  • Marketing or promotional messages about PracticeGrowth.Tech offerings, only where you have opted in to that category of messages

5.2 Frequency, rates, and consent

  • Message frequency varies based on your interactions and the program(s) you join.
  • Message and data rates may apply.
  • Consent to receive texts is not a condition of purchase.
  • By opting in, you confirm you are the subscriber or customary user of the number provided and that you are authorized to enroll it.

5.3 Opt-out and help

  • Reply STOP to cancel. After you send STOP, we will send a one-time confirmation and then stop marketing/conversational texts for that program, except as needed to confirm opt-out or as otherwise allowed by law.
  • Reply START or UNSTOP (where supported) to re-subscribe, or opt in again through a supported form/flow.
  • Reply HELP for help, or contact [email protected] / (972) 362-5005.

5.4 What we do not do with mobile information

No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes. Text messaging originator opt-in data and consent will not be sold, rented, or shared with any third party except:

  • with vendors that help us deliver the messaging service (e.g., connectivity/SMS platform providers), solely to provide the service on our behalf;
  • to comply with law, regulation, legal process, or governmental request;
  • to protect rights, safety, and security; or
  • as part of a business transfer (merger, acquisition, financing, or sale of assets), subject to appropriate protections.

5.5 Carrier disclaimer

Wireless carriers are not liable for delayed or undelivered messages. Delivery is subject to effective transmission by your carrier and supporting networks.

6. How we share information

We may share personal information with:

  • Service providers / processors that host infrastructure, CRM, email/SMS/voice, analytics, scheduling, payment, customer support, and security tools (examples may include Cloudflare, GoHighLevel/LeadConnector, Telnyx or other telephony providers, Cal.com, email providers, and similar vendors)
  • Professional advisors (lawyers, accountants, insurers) under confidentiality obligations
  • Authorities when required by law or to protect rights and safety
  • Business transferees in connection with a corporate transaction

We do not sell personal information for money. We also do not share mobile opt-in data for third-party marketing as described in Section 5.

If you are a California resident, “sale” or “sharing” under the CCPA/CPRA may include certain advertising/analytics disclosures. You may contact us to exercise applicable opt-out rights. If we enable interest-based advertising cookies, we will update this Policy and provide a practical opt-out method.

7. Cookies and similar technologies

We and our providers may use cookies, local storage, pixels, and similar technologies to:

  • Keep the site secure and functioning
  • Remember preferences
  • Understand traffic and performance
  • Measure marketing effectiveness

You can control cookies through your browser settings. Some features may not work if cookies are disabled. Our site may be served through Cloudflare, which can set technically necessary cookies related to security and performance.

8. Retention

We retain personal information for as long as needed to fulfill the purposes described in this Policy, including providing services, maintaining business and tax records, resolving disputes, enforcing agreements, and meeting legal, carrier, and accounting requirements. Messaging consent/opt-out logs may be retained longer as needed to demonstrate compliance.

9. Your privacy rights

Depending on your location, you may have rights to access, correct, delete, or obtain a copy of personal information, to opt out of certain processing, or to appeal a decision. To submit a request, email [email protected]. We may need to verify your identity before fulfilling a request.

If we process data for a client practice about that practice’s customers, we may direct your request to the client, or handle it according to our agreement with that client and applicable law.

10. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

11. Children

Our services are directed to businesses and professionals. We do not knowingly collect personal information from children under 13 (or under 16 where that is the applicable standard). If you believe a child provided information, contact us and we will take appropriate steps to delete it.

12. International visitors

We are based in the United States. If you access our services from outside the U.S., you understand your information may be processed in the United States and other countries where our providers operate, which may have different data-protection rules than your country.

13. Third-party links and tools

Our site may link to third-party sites or embed third-party tools (scheduling, chat, fonts, analytics). Their privacy practices are governed by their own policies. The LeadConnector/GoHighLevel chat widget and related messaging tools may collect the information you submit through those interfaces.

14. Changes to this Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Material changes may be highlighted on this page or communicated by other reasonable means. Continued use of the site after an update means you acknowledge the revised Policy.
